How do you go about planning a wedding at the Caribe Hilton?

The checklist included in our wedding package can assist in fulfilling your wedding needs from the minute you get engaged to the second your honeymoon flight leaves the tarmac. However, these tasks are not all-inclusive.

There may be additional chores related to your specific situation. Consult with your wedding coordinator if you have additional questions or concerns.

We recommend that you directly contract a wedding coordinator to help you with the planning and execution of your special day.

What is the Honeyfund?

How do you go about reserving a wedding space at the Caribe Hilton?

After choosing the ceremony and/or reception areas you want to book, send us a confirmation e-mail with your full name and address. From here, we will send you a contract to sign, this will include the food and beverage rental required consumption for the space you have chosen. We’ll then be required to take a non-refundable deposit of 25% for the contracted consumption; this deposit will be credited towards the final bill and is a requirement to secure the space and date.

Do you require a minimum consumption for the event?

Yes, for all events there is a required minimum consumption. The amount will be based on the selected venue and amount of guests.

What happens if I book an outdoor ceremony or reception and rain is forecasted?

At the Caribe Hilton, we will always reserve a suitable indoor space of equal size to the previously booked outdoor venue.

In the case that poor weather does infringe on the wedding and/or reception, we will provide you with options and move you into the next best available venue. Weather calls have to be made in conjunction with the hotel staff no later than two hours prior to the event start time, and in the case of wedding receptions, we recommend four hours before the event start time; this is due to the event complexity and should be done with the assistance of your hired vendors. 

What should I consider when booking outdoor ceremonies or events?

  1. Sound System
    Sound is incredibly important when you have an outdoor ceremony, as such, you may need a sound system and microphone set up for yourselves or the officiant during the vows.
    A sound system is also useful if you want to bring your own music. In this case, you can
    connect it to a sound system provided by our in-house a/v company to enhance your ceremony and reception. If you are interested in this service, let your Catering Sales Manager know for more details.
  2. Lighting
    Most of our outdoor facilities have passive lighting. However, to create ambiance for the event you’ll need focused lighting. Our in-house a/v company will be delighted to help you design the perfect lighting scenery for your event.
  3. Electrical Needs
    It is always advisable to ask all your vendors to specify their electrical requirements. Bands, videographers, and DJs lighting systems tend to require more amperage than the typical wall outlet can handle. We can install additional electrical facilities to handle the additional demand.
  4. Catering
    To provide a full buffet selection, we require a minimum of 20 guests in attendance to set up a buffet. Plated menus require a service area very close to the dining area in order to provide the freshest food to the table. If distances are far from service facilities, buffets or stations tend to be the more suitable food option. When it comes to cost, buffets are typically 8%-15% more expensive than plated as more food per person is required; this is to maintain a buffet station full and attractive for the duration of the meal.

How many menu tastings do you offer and for how many people?

We offer a complimentary food tasting for reception dinners of at least 50 guests. Typically, we allow up to four people to attend the food tasting; with additional guests charged $50 per person.

Do you offer a simple ceremony wedding?

At the Caribe Hilton, we can offer you an array of beautiful settings for outdoor and indoor ceremonies from two to 600 people. Our price guidelines are designated to accommodate all sizes of weddings. Allow us to guide you and help you choose all the elements to make your dream wedding come through. Ceremony-only events can be booked up to 3 months in advance based on available spaces.  

Can you recommend or provide flowers, music, a photographer, and a minister for my wedding?

It will be our pleasure to recommend various local professional wedding coordinators who can assist you on your big day. However, if you wish, we can also recommend individual service providers for each of these. 

When can I give my final guarantee or headcount? And how do I pay?

You need to set a guarantee at the point of signing the contract for your event. This initial contract will be based on the minimum revenue needed for the space booked. Later, as you finalize your menu and beverage selection, our quotation will be based on the estimated consumption of food and beverage (menu selected per person x number of people; estimated beverage consumption per person x number of people).

The entire event must be paid business 10 days prior to the event date. However, you could change your guarantee up to 72 hrs before the event date. Remember, that you still have a minimum consumption to meet regardless of the guarantee or menu.

All weddings must be prepaid 10 days before the event date.

Only a few of my guests drink, what are my options for beverage services?

We will work with you to provide the beverage service that suits you best:

  • Per hour / per person
  • On consumption, we will only charge for what is opened or served.

I’m interested in doing a room block for my guests. What are the steps?

For a room block, you will need to book 10 rooms or more. You can do a room block with our standard, king, and double accommodations – or you can select any of the room types available. Rates will be provided by your Catering Sales Manager, rates exclude the $42 resort charge and taxes. 

As soon as you decide on the number of rooms and type needed, your Catering Manager will send you the contract for a signature and deposit.

After this, you will receive a link and all of your guests can book their rooms directly.

Can I use my Hilton Honors points toward the room block?

Unfortunately, your Hilton Honors points can only be used for individual reservations. However, when you book an event or room block you will receive more points that you can use in the future.  

Do we get a complimentary suite for the wedding night?

We do provide a complimentary suite for the bride and groom for the wedding night, however, this is subject to the minimum spend. The assigned suite will be based on availability when booking your event.
